Global-Mark is committed to maintaining the privacy of the individuals with whom we work, or come in contact with during our work. We are committed to the National Privacy Principles and will do our best to comply with them. We ensure that our staff and contractors also comply with the National Privacy Principles.

What personal information may we collect?

For the purpose of our activities we may need access to records, which may include the following:

  • names, titles, post-nominal, awards, address details, telephone, fax and email contacts, date of birth, nationality, gender
  • qualifications, education and academic history, CV, work experience, training, occupation, employer information, details of insurance, areas of practice, areas of interest, details of disciplinary action
  • membership of associations, societies, technical societies, colleges, resiters and interest groups
  • financial details including credit card numbers, bank account information, financial status
  • evaluation, audit, review and evaluation records
  • degrees, letters of reference, police records, bankruptcy records, legal records about individuals or the companies they are or were in association with
  • other information and documents that may be relevant

How may we collect this information?

  • Generally we will collect the information direct from you, but we may also access information from other sources if appropriate. For example, when you complete Application Forms, Client Agreement Forms or other forms, talk to one of our representatives or send documentation to our office.
  • It may be collected from you when you deal with us personally: over the telephone, by sending a letter or through our website.
  • There may also be occasions when a third party provides information to us about you; such as when a reference check is conducted, when a complaint is made against you, or when a credit or police check is conducted.

Why and how do we use this information?

  • We will only use information for the primary purpose for which it was collected.
  • We may also use the information for a secondary purpose that is related to Global-Mark's business activities and are reasonably expected to be within the contect of the relationship with Global-Mark (e.g. other services which may be of benefit to you).

    • accreditation or regulatory reporting and compliance.
    • breaches of the law, which we are obliged to report.
  • In the event of a complaint against you we may use the information provided to investigate the complaint.

How do we disclose information?

We may disclose information to fhe following people or organisations:

  • A certification, accreditation or review committee/board/council/panel to assess an application, file, appeal, document or disciplinary action.
  • We may subcontract some of our processes e.g. performing reviews, interviews and exams.
  • We may also provide details to a mailing house and marketing management company for the purposes of mail administration.
  • Our website and certain printed material may display information relating to organisations or persons who have received certification or accreditation.

We treat all personal information held as confidential. We will not sell or provide our databases or lists to any other party.

Accuracy of your personal information?

  • We strive to keep all held information and records as accurate as possible.
  • We take all reasonable steps possible to ensure that information is accurate, complete and up-to-date.

If you discover that the information we have about you is inaccurate, please advise us and we will take steps to update our systems.

Accessing your information?

  • We may grant you limited access to the information we hold about you.
  • In the event that you send us a written request, we may provide you with information about you which is readily accessible and which may lawfully be provided.
  • Your request will be dealt with in a reasonable time but we may charge you a fee for retrieving and sending the information to you in order to recover our costs.

How is the information secured?

  • We protect any information that we hold from misuse and loss.
  • Our staff and contractors are responsible for handling information and data in accordance with this policy.
  • The information may be stored in formats such as hardcopy documents, electronic data or in other software or systems.
  • We provide access only to those with cleared security access.
  • We use and maintain strict hardware, software and network security systems and protocols.

How can you raise your concerns with us?

  • If you believe that the privacy of your personal information has been compromised, you are entitled to lodge a complaint.
